What is On-the-day Coordination?

You’ve planned your event to perfection, every supplier is sorted and the details are divine. It’s set to be stunning.. so long as it all comes together as you imagine it to.

The last thing you want to do is spend the day of your event running around frantic, worrying that something won’t go to your perfect plan. This is where On-the-day Coordination (OTDC) with The Stylist’s Guide comes in!

Our OTDC package is for those who want a worry free event set-up; ensuring that all of your suppliers are on time and the schedule is running smoothly. All you have to do is arrive and be amazed with the final result – just as you pictured it!

We can assist with everything from furniture set up to dressing your tables, styling your venue and managing all suppliers.

But how does it work?

Beginning with an initial consultation, we discuss every important detail for your event; guest numbers, venue, layouts and your mood board, which will give us clear direction for the event.

We then meet for a site visit at your venue to ensure that we have every question covered. Working from the floor plan, we establish where to meet suppliers, where every single item is to be placed — taking multiple photos and notes so that every team member is across the vision and direction for the day in the back-end.

Finally, your event day has arrived! We’ll be there for bump-in to coordinate the deliveries from your suppliers, to place every item in its designated location and guarantee that all facets are running to schedule.

If my venue has an event or function coordinator, do I still need OTDC?

An Event Coordinator at your venue is great, as we love working with them! Unfortunately, their number 1 priority on your wedding day is the venue. From food to drinks, staffing and operations — your venue’s Event Coordinator will have it sorted.

All of the specifics outside of the venue, including setting place cards, menus, bonbonniere, ensuring suppliers arrive and deliver exactly what you have arranged and so on, does not fall under their job description.

With The Stylist’s Guide doing your OTDC, you will have every ‘i’ dotted and every ‘t’ crossed. Your masterful planning is our number 1 priority!
